This policy explains what data Plannista processes when you visit plannista.ai or use the Plannista application, why we process it, and the rights you have.

Who we are

Plannista provides preference-aware shift planning software for hospitals and operations teams. For questions about this policy, contact hi@plannista.ai.

Data we collect

Account data: name, work email, organization, and role. Usage data: login times, feature use, device and browser information, and approximate location derived from IP address. Site data: pages viewed and referral source when you visit the marketing site. If you request a demo or trial, we also store the details you submit in the form.

Workforce and hospital data

Your organization may upload staff names, roles, wards, contracted hours, and wanted work or rest dates so we can generate a roster. That data is processed on behalf of the customer organization. The hospital or ops team remains the controller of employee personal data; Plannista is the processor.

Why we process data

To provide and secure the service, create and publish schedules, bill the correct plan, answer support requests, and improve product quality. Legal bases include performance of a contract, legitimate interests in running a secure SaaS product, and consent where we ask for it (for example non-essential cookies).

Cookies

We use essential cookies to keep you signed in and remember language. Analytics cookies, if enabled, help us understand which pages are useful. You can block non-essential cookies in your browser. The marketing site does not require an account.

Sharing

We do not sell personal data. We share it with infrastructure and email providers who process it on our instructions, and if the law requires disclosure. Customer workforce data stays in that customer's workspace and is not used to train public models.

Retention

Account and billing records are kept for the life of the contract and as long as accounting or legal duties require. Workforce roster data is retained while the customer account is active and deleted or returned after the contract ends, unless the customer asks us to keep an export.

Your rights

If you are in the EEA, UK, or a similar regime, you may request access, correction, deletion, restriction, or portability of personal data we hold as controller, and you may object to certain processing. Employees whose data lives in a hospital workspace should contact their employer first. You may also lodge a complaint with your local supervisory authority.

International transfers

If we transfer personal data outside the EEA, we use an approved mechanism such as the European Commission's Standard Contractual Clauses.
